Position Summary: 

The Administrative Analyst provides administrative and technical support to the Executive Director of Ancillary Services.  The incumbent independently manages assigned projects through to completion; establishes, maintains and tracks priority action items for the Executive Director and team; acts on accurately prioritized items identified; prepares draft and final written communications from the Executive Director; administratively supports several committees by preparing and distributing agendas, taking notes, and tracking action items; manages calendars; and provides additional support as needed.

 

Salary Range: 

 

Rate    Minimum  $20.74   Midpoint  $27.13   Maximum  $33.52

ADMIN_ Accurately prepares, copies and distributes correspondence and documents. Coordinates activities associated with meeting management such as room reservations, catering requests, travel arrangements, media equipment needs, agenda development, preparation of minutes, and follow-up.  Manages complex calendars of others and schedules, accepts, and declines meetings/appointments and events on their behalf.  Provides effective departmental telephone coverage, taking accurate message and providing information to callers as appropriate. Maintains an appropriate filing system for correspondence, documents, etc.  Serves as department timekeeper.

ADM_ Provides effective, high level administrative support to the department.  Provides effective committee meeting and project support including identifying and tracking action items and providing support to department leaders on outstanding action items and updates.  Proactively provides support and assistance to colleagues within the office, visitors and external departments to accomplish administrative tasks of the department and the medical center as appropriate

ANALYSIS: Reviews and monitors various organization reports and key metrics and designs new reports as needed; performs qualitative analyses; synthesizes and consolidates key operational and financial data from multiple sources into high level reports for senior leadership; writes executive summaries to include identifying trends and areas of opportunity for improvement or in need of corrective measures; follows up with stakeholders regarding key measures and performance indicators.

ANLYS:  Provides analytical support by collecting, synthesizing, reporting and editing information needed to make operational decisions and demonstrate program compliance.  Researches and compiles data and materials, using independent judgment to determine required action and/or responses.  Develops internal and external contacts as necessary to obtain and validate data.  Makes recommendations for improving existing processes based on analysis and implements approved process changes.  Effectively maintains information in formats that facilitate reporting needs and decision making.  Ensures all deadlines for reporting are met
